Trust matters to us, and that includes how we look after your information. The Park Collective (TPC), Company No. 16970502, is the data controller for the personal data described below. This policy sets out plainly what we collect, why, and how it's used, in line with UK GDPR and the Data (Use and Access) Act 2025.

1. Who We Are

‍The Park Collective is a private nanny placement and family concierge agency based in Bath. Gigi Colson, Founder, is responsible for how your data is handled. 2. What We Collect, and Where It Comes From

Depending on whether you are a family or a candidate registering with us, we may collect:

  • Contact details, including name, address, phone number, and email

  • Family and placement information relevant to your enquiry

  • Employment history, references, and qualifications (for candidates)

  • Right to work, DBS, and other vetting information (for candidates)

  • Enquiry and registration details submitted through our website forms

  • Technical information such as IP address, if collected by our website

Most of this comes directly from you. Some may come from references you name, from background check and vetting providers acting on our instruction, or, in the case of candidates, from the family considering you for a role and vice versa. ‍

3. How We Use Your Information, and Our Legal Basis

  • Matching candidates with families and progressing a placement. Contract, or steps taken at your request before entering a contract.

  • Carrying out vetting, reference, and right to work checks. Legal obligation, and legitimate interests in placing suitable candidates.

  • Processing DBS and other criminal record checks. Legal obligation and safeguarding of children, under the additional conditions required for this category of data.

  • Communicating with you about a placement or enquiry. Contract, or legitimate interests.

  • Sending updates, newsletters, or candidate alerts, where you have opted in. Consent.

  • Meeting our legal, accounting, and regulatory obligations. Legal obligation.

4. Sharing Your Information

We share candidate information with families as part of the introduction and placement process, and share relevant family information with candidates being considered for a role. We do not sell personal data to third parties.

We may share information with service providers who support our business, including background check and vetting providers, website hosting, email, cloud storage or CRM providers, and accounting or payment providers, under appropriate confidentiality arrangements. We may also share information where required by law.

5. International Transfers

Where a placement involves a family or candidate based outside the UK, or where a service provider we use stores data outside the UK, your information may be transferred internationally. Where this happens, we take steps to ensure it is protected to a standard consistent with UK data protection law.

6. How Long We Keep Your Information

We keep information only for as long as necessary for the purpose it was collected. As a general guide: ‍

  • Candidate profiles are kept for up to 24 months from your last contact with us, so we can consider you for future roles, after which they are deleted or archived unless you ask us to keep them for longer

  • DBS and vetting information is kept only for as long as needed to make a decision and support the placement, and is then securely destroyed, save for a basic record that a check was carried out

  • Family and placement records are kept for as long as needed to support the placement and to meet our accounting and legal obligations

You can ask us to remove your information sooner, unless we are required to keep it by law. ‍

7. Your Rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you

  • Ask us to correct inaccurate data

  • Ask us to delete your data, where applicable

  • Object to or restrict certain processing, including processing based on legitimate interests

  • Ask for your data in a portable format, where processing is based on consent or contract and carried out by automated means

  • Withdraw consent at any time, where processing is based on consent

8. Cookies and Website Analytics

Our website uses essential cookies needed to make the site work properly, such as remembering your session as you browse. If we ever add analytics or marketing tools that use additional cookies, we'll update this section and our cookie banner to reflect that.

We take reasonable steps to keep your personal data secure and to protect it from unauthorised access, loss, or misuse.

We may update this policy from time to time. The current version will always be available on our website.
